OtoMate respects the privacy of our customers, users, business partners, and individuals whose information may be processed through our platform. This Privacy Policy explains how OtoMate ("OtoMate", "we", "us", or "our") collects, uses, processes, stores, shares, and protects personal information when you visit our website, create or use an OtoMate account or workspace, interact with our services, or connect third-party platforms such as Meta, WhatsApp, Facebook, Instagram, or other supported services.By using OtoMate, you acknowledge the practices described in this Privacy Policy.
About OtoMate
OtoMate provides businesses with an AI-powered automation platform that enables organizations to create and operate AI employees, automate business processes, manage knowledge, connect third-party services, manage conversations, analyze operations, and build automated workflows.
Depending on how OtoMate is used, we may act in different data protection roles.
For information related directly to an OtoMate customer account, subscription, website usage, platform security, billing, and our own business operations, OtoMate generally determines how and why the information is processed.
For information uploaded, connected, transmitted, or otherwise processed by a business customer through its OtoMate workspace, OtoMate generally processes that information on behalf of the customer and according to the customer's instructions.
The organization using OtoMate remains responsible for determining whether it has the appropriate rights, permissions, notices, and lawful basis to provide information to OtoMate and to use it through our services.
Information We Collect
Account and Workspace Information
When you create or administer an OtoMate account or workspace, we may collect information such as your name, business email address, phone number, company name, job role, workspace information, authentication details, user roles, preferences, and account settings.
Subscription and Transaction Information
When you purchase or subscribe to OtoMate services, we may process information relating to your subscription, plan, billing status, invoices, transactions, and payment-related records. Payment card information may be processed by authorized payment service providers rather than being stored directly by OtoMate.
Customer Content
Businesses may provide information to OtoMate when configuring and operating their workspace. This may include documents, files, website content, FAQs, internal knowledge, instructions, prompts, workflow information, business records, customer information, conversation data, automation configurations, AI agent configurations, and other content submitted to the platform. We refer to this information collectively as "Customer Content." Ownership of Customer Content remains with the customer or its applicable owner.
Connected Platform and Integration Data
Customers may choose to connect OtoMate with third-party applications and platforms. Depending on the integrations enabled by a customer, OtoMate may process information received from services such as WhatsApp, Facebook, Instagram, Meta Business products, CRM systems, communication tools, productivity platforms, cloud storage providers, calendars, email services, or other connected applications.
This information may include:
Business account identifiers.
Page, account, or workspace identifiers.
Authorized access credentials or tokens.
Contact information:
Message content and conversation metadata.
Sender and recipient identifiers.
Message delivery information:
Media or attachments.
Customer inquiries.
Integration configuration information:
Other information made available through the APIs and permissions authorized by the customer.
OtoMate only accesses information made available through the permissions granted to OtoMate and required for the relevant integration or service.
Meta Platform Data
When a customer connects Meta technologies to OtoMate, we may receive and process information through Meta APIs and services. Depending on the permissions granted and features being used, this may include information relating to WhatsApp Business Accounts, Facebook Pages, Instagram accounts, messages, business assets, account identifiers, messaging activity, templates, media, and other information authorized through Meta. OtoMate uses Meta Platform Data only to provide, operate, secure, maintain, and improve the services requested by the relevant customer and as otherwise permitted under applicable Meta terms and policies. We do not claim ownership of Meta Platform Data.
AI Inputs and Outputs
When customers use OtoMate's AI capabilities, information submitted to an AI employee, AI workflow, automation, or AI-enabled feature may be processed to generate a response, classification, recommendation, action, analysis, or other output. This information may include prompts, business information, Customer Content, knowledge sources, conversation context, workflow information, and related data required to perform the requested task. Where third-party artificial intelligence providers are used, relevant information may be securely transmitted to those providers to perform the requested service.
Website and Technical Information
When you use our website or services, we may automatically collect certain technical information including IP address, device information, browser type, operating system, login activity, timestamps, pages viewed, application events, diagnostic information, security events, and usage information. We may use cookies and similar technologies where applicable to operate our website, remember preferences, understand usage, maintain security, and improve our services.
3. How We Use Information
We may process information to provide and operate the OtoMate platform and its features. This includes creating and managing customer accounts and workspaces, authenticating users, running AI employees, processing automations and workflows, operating the Knowledge Center, managing integrations, processing conversations, generating analytics, providing customer support, administering subscriptions, and delivering other functionality requested by customers. We may also use information to maintain and improve the performance, reliability, security, and usability of OtoMate; detect and prevent fraud, abuse, security incidents, and unauthorized access; troubleshoot technical issues; communicate with customers regarding their accounts or services; enforce our agreements and policies; meet legal and regulatory requirements; and protect OtoMate, our customers, users, and third parties. We do not sell Customer Content or personal information processed on behalf of our customers.
4. AI and Automated Processing
OtoMate allows customers to configure AI-powered agents and automated workflows capable of analyzing information and performing actions. The customer is responsible for determining how AI and automation should be used within its organization and for implementing appropriate human review where necessary. AI-generated content may occasionally be incomplete, inaccurate, or unsuitable for a particular purpose. Customers should apply appropriate review and controls, particularly when AI outputs could affect individuals or significant business decisions.
5. How We Share Information
We may share information with trusted service providers and subprocessors that help us operate OtoMate, including infrastructure providers, cloud hosting providers, database providers, authentication services, communications providers, payment processors, analytics providers, AI service providers, security services, customer support tools, and integration providers. These providers may only process information as necessary to provide their services to OtoMate and are subject to appropriate contractual, confidentiality, or data protection obligations where required. Information may also be shared with third-party platforms when a customer intentionally enables an integration or requests an action involving that platform. For example, when a customer connects Meta services, relevant information may be transmitted between OtoMate and Meta to provide messaging, account management, automation, analytics, or other authorized functionality. We may disclose information where reasonably necessary to comply with applicable law, regulation, legal process, or lawful governmental request; protect the security or integrity of our services; enforce our agreements; investigate fraud or abuse; or protect the rights and safety of OtoMate, our customers, users, or others. If OtoMate is involved in a merger, acquisition, financing, restructuring, or sale of all or part of its business, information may be transferred as part of that transaction subject to applicable legal requirements.
6. Third-Party Integrations
OtoMate allows customers to connect third-party services. Connecting a third-party service authorizes OtoMate to exchange information with that service as required to provide the requested functionality. The customer's use of third-party platforms remains subject to the privacy policies, terms, permissions, and policies of those platforms. OtoMate is not responsible for the independent privacy practices of third-party services. Customers may disconnect supported integrations when they no longer wish OtoMate to access them. Disconnecting an integration stops future access through that connection but does not necessarily delete information previously processed or retained where such retention remains necessary or legally permitted.
7. Meta, WhatsApp, Facebook and Instagram Integrations
Customers using OtoMate with Meta technologies are responsible for maintaining appropriate Meta accounts, permissions, approvals, user notices, and messaging permissions. OtoMate processes information obtained from Meta technologies only for purposes associated with providing the OtoMate services requested by the customer, maintaining security and functionality, complying with applicable requirements, and supporting authorized business communications and workflows. Access to Meta data is limited to the functionality and permissions authorized through the applicable integration. If permissions are withdrawn or an integration is disconnected, OtoMate will cease accessing the applicable Meta account through that authorization, subject to technical, legal, security, and retention requirements. Requests to delete information obtained through Meta can be submitted according to our Data Deletion Instructions.
9. Data Security
OtoMate uses reasonable administrative, organizational, and technical safeguards designed to protect information against unauthorized access, loss, misuse, alteration, disclosure, or destruction. These safeguards may include access controls, authentication mechanisms, encrypted communications, permission management, monitoring, logging, infrastructure security, and other appropriate controls. No online service or storage system can guarantee absolute security. Customers are also responsible for protecting their OtoMate credentials, connected accounts, API keys, workspace permissions, and devices. Customers should notify OtoMate immediately if they believe their account or workspace has been compromised.
10. International Data Processing
OtoMate and our authorized service providers may process information in countries other than the country where the information originated. Where required, we implement appropriate safeguards for international transfers of personal information in accordance with applicable data protection requirements.
11. Your Privacy Rights
Depending on applicable law and the circumstances of the processing, individuals may have rights regarding their personal information. These may include the right to request access, correction, deletion, restriction, objection, withdrawal of consent, or other rights available under applicable data protection laws. Requests relating to information controlled directly by OtoMate may be submitted to our privacy contact. Where OtoMate processes information on behalf of a business customer, the relevant business normally controls that information. Individuals should generally contact that business directly regarding their request. OtoMate will reasonably assist our customers in responding to valid privacy requests where required. We may need to verify a request before taking action to protect information from unauthorized access or deletion.
12. Data Deletion
You may request deletion of personal information associated with OtoMate in accordance with our Data Deletion Instructions. If your information was received through a Meta product or integration, you may also request deletion of the relevant Meta-derived information through the process described on our Data Deletion page.
13. Children's Privacy
OtoMate is designed for businesses and professional use and is not intended for use by children. We do not knowingly provide OtoMate accounts directly to children where doing so would violate applicable law. Customers using OtoMate are responsible for ensuring that their use of the platform, including information they provide to OtoMate, complies with applicable requirements relating to minors.
14. Business Customers and End Users
OtoMate customers may use our services to interact with their own customers, leads, employees, suppliers, or other individuals. Those businesses determine the purposes for which they collect and use such information. If you interact with a business that uses OtoMate, that business's privacy policy also applies to its collection and use of your information. Questions about how a particular business uses your information should generally be directed to that business.
15. Changes to This Privacy Policy
We may update this Privacy Policy as our services, technology, integrations, or legal requirements evolve. When material changes are made, we will update the "Last Updated" date and may provide additional notice where appropriate. Continued use of OtoMate after an updated Privacy Policy becomes effective constitutes acknowledgment of the updated policy to the extent permitted by applicable law.
